THE IMPORTANCE OF BACKING UP


This is a real life call we received from one of our customers the other week (you know who you are!).

"Sarah" called and explained that her laptop had been stolen and that she needed assistance to set up her email addresses on her new computer. Fair enough. But then she asked:

"So now how do I recover all my previous emails?"

Unforunately, I had to advise her that once you check your emails in Outlook or any other email program, it downloads them off the server to your computer. That is, they are removed from the hosting server and sent to your computer. Once that's done, they aren't on the server anymore. So if all your emails were on the laptop, and it was stolen, and there were no computer backups being made, then all your previous emails are gone too.

This is quite a common situation (whether by theft, hard drive failure, etc), and highlights again the need for regular backing up of your data. The most basic system is to get an external hard drive and use a program such as Nero or HandyBackup to automatically back up your important data with the click of a button. Most of these programs will be able to tell what files have been altered and only back up those. If your setup is a bit more complicated (multiple computers, network, or server), talk to your computer person about your options.

HOW TO: CREATING AN EMAIL ADDRESS


in this new section we go through step-by-step guides on how to solve common queries that we receive. This month is about how to create an email address (hosting customers only).

  1. Log into your hosting control panel (www.yourdomain.com.au/cpanel) - using your hosting username and password
  2. On the main menu, click on Mail
  3. Decide if you want to create a real email address (POP3) or a forwarding address. The difference? A forwarding address just forwards to another email address, but a real POP address allows you to check and respond to emails from that address.
  4. For forwarding email addresses, click on Forwarders and then on Add, and follow the instructions
  5. For real email addresses, click on Add/Remove Mail accounts, then click on Add. Enter the address you want, the password you want, and the quota you want (50MB is usually enough).
  6. To add your POP 3 email address to Outlook, the username is the full email address (eg. admin@yourdomainname.com.au), and your Incoming and Outgoing Mail Servers will be mail.yourdomainname.com.au
